Terms & Conditions for Electronic Services (Conference Fee Payments)

§1. General Provisions

1. These Terms & Conditions define the rules for the provision of electronic services by:
Uniwersytet Mikołaja Kopernika w Toruniu, with its registered office at ul. Gagarina 11, 87-100 Toruń, Poland Tax ID (NIP): 8790177291 (hereinafter referred to as the “Service Provider”).
2. Payments are processed via an external payment service provider - Tpay (Krajowy Integrator Płatności S.A.).
3. These Terms are made available on the website free of charge.


§2. Conclusion of the Agreement

1. A service agreement is concluded when the User submits a payment for conference participation via the website.
2. The User is required to provide accurate and complete information necessary to process the payment.


§3. Payment Processing (Tpay) 
1. Online payments are handled by Tpay (Krajowy Integrator Płatności S.A., ul. Św. Marcin 73/6, 61-808 Poznań, Poland).
2. The payment operator is responsible for the secure processing of payment transactions.
3. The User may be required to accept separate terms and conditions of the payment operator.
4. Available payment methods include online bank transfers, payment cards, and other methods provided by Tpay.
5. The Service Provider does not process or store full payment card details.


§4. Currency
1. All fees are indicated in PLN
2. Payments are processed in the selected currency via the payment operator.


§5. Payment Terms
1. The User is obliged to complete the payment within the time specified during the transaction process.
2. Failure to complete the payment may result in cancellation of the registration.
3. The Service Provider issues confirmation of payment upon successful transaction.


§6. Complaints Procedure
1. Complaints related to conference services should be submitted to the Service Provider.
2. Complaints related to payment processing may be submitted either to the Service Provider or directly to Tpay.
3. Complaints should include: user identification details, transaction details, description of the issue.
4. Complaints may be submitted via: e-mail: kizdiagn@cm.umk.pl
5. Complaints will be reviewed within 14 days.


§7. Refund Policy
1. Refunds are processed in accordance with the conference organizer’s policy.
2. In case of a justified complaint, the User may be entitled to a full or partial refund.
3. Refunds are made via the same payment method used for the original transaction unless otherwise agreed.
4. The payment operator (Tpay) may participate in the refund process.
5. In the event that a complaint is accepted, the refund shall be made within 14 days from the date of the positive resolution of the complaint.
6. The refund will be issued using the same payment method that was used for the original transaction, unless the User expressly agrees to a different method.


§8. Ticket Delivery Method and Costs
1. The ticket granting access to the event is delivered in electronic form (e-ticket) to the e-mail address provided by the User during registration.
2. Delivery of the electronic ticket is free of charge.
3. The Service Provider does not offer delivery of physical tickets.


§9. Liability
1. The Service Provider is responsible for the proper delivery of conference services.
2. Tpay is responsible for the execution of payment transactions.
3. The Service Provider is not liable for interruptions in payment processing caused by the payment operator or external factors.


§10. Termination of the Agreement
1. The User may withdraw from the service before completing the payment.
2. After payment, withdrawal and refunds are subject to the refund policy.


§11. Personal Data Protection
1. The controller of Users’ personal data is Nicolaus Copernicus University in Toruń, with its registered office at ul. Gagarina 11, 87-100 Toruń, Poland.
2. Personal data are processed for the purpose of: - providing conference participation services, - handling payments, - processing complaints, - fulfilling legal obligations incumbent on the Controller.
3. Provision of personal data is voluntary but necessary to use the services.
4. The User has the right to access their data, rectify it, erase it, restrict processing, transfer data, and object to processing.
5. Data may be shared with entities processing data on behalf of the Controller, in particular the payment operator Tpay.
6. Detailed information regarding personal data processing is available in the full Privacy Policy published on the Service Provider’s website.


§12. Final Provisions
1. These Terms may be updated.
2. Matters not regulated herein shall be governed by applicable Polish law.
3. These Terms do not exclude or limit consumer rights under mandatory provisions of law.

Privacy Policy for Conference Registration and Online Payment

1. Data Controller

2. Data Protection

Personal data are processed in accordance with the General Data Protection
Regulation.

3. Scope of Data

The following personal data may be collected during conference registration:

name and surname

institutional affiliation

email address

billing information

payment confirmation data.

4. Purpose of Processing

Personal data are processed for:

registration and organization of the conference

communication with participants

processing payments and issuing invoices

fulfilling legal and accounting obligations.

5. Data Recipients

Personal data may be shared with:

payment service providers responsible for processing conference payments

IT service providers supporting the conference website

authorized institutions if required by law.

6. Data Retention

Personal data will be stored for the period necessary to organize the
conference and to meet legal obligations related to financial
documentation.

7. Participant Rights

Participants have the right to:

access their personal data

request correction or deletion of data

request restriction of processing

lodge a complaint with the competent supervisory authority.
